Comprehensive, Integrated Enterprise Level Records Management
Integrated, Multi-agency Records Management
Data Collection, Investigative management, reporting and Crime Analysis capabilities are an integral part of RMS-2. Agency personnel have access to all information housed in the RMS and extended access into CAD, Mobile and Jail data. RMS-2 provides system wide linking of related information, so once entered the data is available for use in other system modules.
RMS-2 incorporates central master indexes for names, vehicles, property, reports and locations. These indexes greatly facilitate searches in the system and speed data collection by automatically populating key fields in input modules. The Master Name Index supports investigative alerts and automatically maintains address, alias, phone number, and other identification histories on individuals.
User-Friendly Graphical User Interface
Menus, windows, colors, highlights, and other display features are incorporated to provide a new level of utility and ease-of-use. RMS-2 is a Microsoft Windows-based system specifically designed with the law enforcement professional in mind, and provides a familiar user-friendly interface. RMS-2 has been designed from the ground up to be tailored to user requirements. Extensive use of tables and configuration parameters permits customization of screen formats and operational features to the unique operational requirements of each agency. Code tables and descriptors are entirely user definable.
Master File Approach
RMS-2 provides a truly integrated data set by utilizing central master indexes for names, vehicles, and locations. The system collects all law incident record information into a comprehensive database, and automatically establishes links between related records. Master indexes greatly facilitate searches in the system and speed data collection by using existing information and automatically populating key fields in input modules. The Master Name Index supports investigative alerts and automatically maintains address, alias, phone number, and other identification histories on individuals. A query against a name, address, vehicle from any system module is automatically processed through the Master indexes to locate all related data. Once entered in the system, data can be linked to any new events as required.
Law Records Management Features
Tailored Case Workflow Management and Auditing
RMS-2 includes a powerful case management system that allows incident reports and supplements to be digitally reviewed, approved, and assigned for follow-up. On-line incident approval enables supervisory personnel to review completed reports in a timely manner without elaborate routing of printed reports. As soon as a report is marked as completed, it becomes available for review. Approved reports can be assigned to an individual or bureau for follow-up investigation. Unsatisfactory reports are flagged for revision and the reporting officer can be notified automatically. Assignment history is maintained when a case is re-assigned. Optional schedule alerts can be incorporated to ensure timely investigation.
Assignment history is maintained when a case is re-assigned. The system also logs all accesses to case reports; including retrieval and printing.
Document and Image Management
RMS-2 includes “Virtual Manila” folder image catalog to eliminate the paper shuffle, and to enable the storage and retrieval of digital images or scanned documents. These Image catalog provides a comprehensive capability to import, store, and manage external documents, images, audio files, and video files within the system. Input can come from video cameras, digital cameras, scanners, or other sources. Users can access the images through the inquiry program associated with the case, or retrieved by any identifying number, personal descriptors, keywords, and other criteria.
Management and Operational Reporting
RMS-2 is supplied with an extensive and flexible suite of reporting capabilities supporting standard and ad-hoc reports. The system ships with a set of standard reports designed to provide management and operations personnel with comprehensive information on department operations and daily activities. These reports can be run on demand or generated automatically by the system at predefined intervals. The system compiles offenses, arrests, and law incidents into detailed criminal and non-criminal summaries for submission to the Uniform Crime Reports (UCR) and National Incident Based Reporting System (NIBRS).
